Position Overview

As a result of a business expansion, Janssen Inc. is looking to fill a Clinical Trial Administrator role in our Medical Affairs Department located in Toronto, Ontario.

Responsibilities:

Maintain files and databases for tracking grant requests, and preparing grant requests for the internal review committee as required

Initiation and management of payment for grant requests requiring purchase orders

Maintain files and databases for consultancy agreements and advisory boards

Responsible for coordinating compassionate use medication shipments (per GCO SOPs)

Full working knowledge of GCO SOPs which relate to clinical trial activities conducted by Medical Affairs

Provides clinical trial assistance as required (developing/maintaining Local Administrative File, Trial Master File, archiving, sending materials to sites, completes/tracks/ensures site completion of regulatory documents, tracks and submits clinical trial payments based on work completed)

Organization of advisory boards, investigator and steering committee meetings per HCC policies and responsible for interfacing with meeting vendors as related to these functions

Create powerpoint presentations using specific data tables and spreadsheets

Assist with publication related activities in accordance with SOPs (i.e. poster creation, abstract/manuscript submissions, etc)

Provide administrative support to the Director, Medical Sciences and Medical Directors

Assist in the administration and organization of teleconferences and team meetings;

Assist in the administration and organization of off-site meetings & events, and following-up on critical documents (i.e. approvals, contracts, cheques)

Participate, draft and distribute team meeting minutes

Co-ordinate the translation of correspondence

Accountable for updating the Medical Affairs Intranet/Sharepoint sites as assigned

Qualifications


At least 5 years relevant business experience

Post Secondary Education preferred

Excellent organisational skills and attention to detail

Knowledge of clinical trial activities and J&J/GCO SOPs pertaining to clinical trials an asset

Demonstrated experience with planning logistics and required contracts for advisory boards, steering committees and interactions with Key Opinion Leaders

Legal contract experience would be an asset.

Demonstrated initiative and innovation around workflow

Good verbal and written communication skills

Strong collaboration and teamwork

Proactive approach to job requirements and problem-solving

Advanced proficiency with enabling technology in all Windows software such as Microsoft Word, Excel, Outlook and PowerPoint is required
