Provides administrative & operational clerical support to the CPMG Benefits team. Responsibilities include creating packets, organizing complex mailings, data entry, statement reconciliation, form review/completion/tracking, email & phone correspondence w/ physicians & vendors, premium calculations, organizing events, scheduling, disseminating information, & recording meeting minutes.
Essential Functions:
- Provide administrative support to include, but not be limited to, the following:
- Part Time Temporary 401(k) enrollment - sends out enrollment forms, track participation, & send follow up communication to nonparticipants.
- Create new hire packets - Once to twice a year so we have enough packets to last
- COBRA
-Provide COBRA information to physicians - Periodic
- Manually enter all qualifying events on the Conexis website - Generally monthly or as a new event occurs / 15-20 min per event
- Review for accuracy & pay Dental/LTD premiums monthly - Monthly / about 30 min to 1 hr.
- Reconcile & process all recons/discrepancy reports for medical & dental - Monthly once they are caught up / 1 - 2 days. Currently, medical is a large project that may take 3-4 weeks of dedicated time to reconcile.
- Family status change forms - Periodic as events occur / 15-20 min each
- E-mail to send baby baskets - Periodic w/ babies/adoptions / 2 min each
- Calculate monthly premiums, send out coupons, & track payments for disability/leaves - Annually (3-5 days, depends on volume) / tracking of payments is periodic as payments are received & takes about 5 min to log, copy & inter-office
- New hire forms - Periodic after benefit sessions / 10-15 min
- Annual Retiree Open Enrollment - Annually
- Annual Retiree Party mailing - Annually
- Pension committee - disseminate information, schedule meetings, send notifications, take meeting minutes. - Monthly (as needed)
- Order food, prepare & copy books for Retirement Planning Seminars - Semi-annually
- Host on the event date for one-on-one meetings w/ Vanguard - Several days that occur semi-annually
- Disseminate education material for Vanguard - Periodic (as needed)
- Assist w/ mailings - Periodic (as needed)
- Request pension estimates for attendees at retirement seminars
- KPMP plan administration - review & pay bills for dependents living in other KP regions.

- Also accountable for consistently demonstrating the knowledge, skills, abilities, & behaviors necessary to provide superior & culturally sensitive service to each other, to our members, & to purchasers, contracted providers & vendors
Qualifications:
Basic Qualifications:
-Minimum of 4 years of progressive administrative experience
-High Schooldiploma or equivalent
-Demonstrated proficiency in MS Word, Excel, & email to include importing documents/data; creation of basic formulas, accurately tabulating data, mail merge & document creation/editing
-Demonstrated ability to plan, organize & prioritize work assignments
-Effective verbal, written & interpersonal skills required
-Adept at communicating w/ a professional audience
-Detail oriented
-Typing test required w/ a minimum of 45 words per minute & a 5% or less error rate
Preferred Qualifications:
-MS Power Point & prior benefits administration experience
