Description
Johnson & Johnson Corporate Headquarters is recruiting for a Senior Administrative Assistant to be located in New Brunswick, NJ. This is a causal part time position 19.5 hours.
The Senior Administrative Assistant will maintain a professional, efficient office environment and will work/interact with others on a daily basis to schedule meetings and/or conference rooms, prepare routine documents, answer/re-direct incoming phone calls, make/coordinate travel arrangements with J&J Corporate travel, manage office supplies inventory and order office supplies, maintain files, and other ad hoc assignments. This person will also maintain Department schedules via Microsoft Outlook and process expense reports via Gxrs.
Specific duties include general office work such as typing, filing, answering telephones, handling incoming and outgoing mail, copying and distributing important information, and receiving visitors. This person will also handle the issuance of certificates of insurance, manage Outlook calendar for Department staff and prioritize meetings to resolve conflicts; schedule meetings including multiparty meetings including assisting in setting up meeting logistics; and coordinate travel arrangements (domestic and international), hotel, ground transportation and for internal/external visitors. The Senior Administrative Assistant will also assist in the on-boarding of new hires and exiting of terminated or transfer-out employees; handle and follow-up on Department's office supplies and purchase requisitions; and handle payment process in ARIBA System including invoices, Check Requisitions, and Purchase Orders. This person will operate a personal computer with emphasis on Word, Excel, PowerPoint, Visio, and other software, as requested. This person will assist in the preparation of Department's presentations. The Senior Administrative Assistant will deliver work with quality and comply with the Document Retention Policy of the Company; assist in SOX compliance tracking and testing.
The Senior Administrative Assistant will collaborate with other administrative assistants within finance on special projects as needed and provide vacation or sick day coverage for other administrative assistants.
Qualifications
A High School diploma is required. An Associate's Degree is preferred. A minimum of 5 years of administrative experience is required. The selected candidate will be a team player with excellent partnering skills and able to work independently with minimal supervision and direction is required. Strong computer skills, including proficiency with Microsoft Office programs (Word, Excel, PowerPoint and Outlook) required. Must be technically adept, able to navigate through administrative systems and able to upload documents onto intranet sites required. Familiarity with ARIBA, CTO, Gxrs, or similar procurement and expense processing systems is preferred. Familiarity with OurSource is a preferred. Excellent administrative and organizational skills required. Excellent verbal and written communication skills required. Knowledge of J&J policies/procedures is preferred. The ability to demonstrate great attention to detail and ensure accuracy is required. Must be flexible with work hours, maintain confidentiality and professionalism, and be able to multi-task and complete assignments/projects in a timely manner required.
