Position Highlights:
This position provides the highest level of administrative support to the Chief of Adult Cardiac Surgery and Heart Transplantation and 1-2 additional attending physicians in the Department of Cardiovascular-Thoracic Surgery. The Administrative Assistant II makes decisions that are based on the needs of the faculty member as well as the patients served. This position requires excellent organizational skills, and the ability to follow through on all details of the position.
Position Responsibilities:
Reviews and prioritizes all incoming and outgoing communications; responds appropriately and in a timely manner.
Prepares various complex and confidential memos and reports. Prepares and reviews requisitions, vouchers and forms; prepares complex administrative records and reports from a variety of sources and materials; keeps varied administrative records and prepares reports relating to departmental or divisional operations.
Assists with the development, evaluation, and achievement of departmental related projects, activities, and goals.
Arranges out-of-town travel, including airline reservations, accommodations, etc. Coordinates and processes travel reimbursements.
Establishes, maintains, and revises record keeping and filing systems. Classifies and files correspondence, records, and other documents.
Schedules room reservations for committee meetings, functions and activities. Prepares meeting agendas, as well as other associated materials. attends, records and distributes minutes from meetings as designated.
Organizes and arranges special department functions and events. Works independently on special projects. Coordinates visiting professor events, arranges speaking engagements.
Contributes to the preparation of scientific/research endeavors such as lectures, educational conferences, and publications; communicates with all outside committees in which the physicians are involved. Researches requested information in the library or internet.
1Acts a liaison between the Chief/attending physicians and faculty, fellows, students, patients, the Department of Medicine, Office of the Dean, Philanthropy and Communication, Public Relations, Office of Research Administration, Legal Affairs, Office of Continuing Medical Education, cardiology divisions at Chicago area institutions, RUMG, vendors and the general public.
Exercises confidentiality related to faculty interactions, schedules, personal and professional status.
Position Qualifications Include:
Bachelor's degree preferred or related business course training a plus.
Two to four years administrative experience in a medical office environment required
Excellent interpersonal skills; ability to interact professionally and effectively
Strong oral and written communication skills.
Must be able to handle sensitive matters and materials in a confidential manner.
Willingness to be flexible and adhere to deadlines.
Proficient computer skills , strong knowledge of general computer applications such as Microsoft Word, Excel, PowerPoint and Adobe Professional.
