Position Summary

The Senior Administrative Assistant provides comprehensive administrative support to the SVP CIO and his direct management team.  The Senior Administrative Assistant is responsible for establishing strong and effective communications with the Office of the President and committee members served by the SVP CIO.  The Senior Administrative Assistant works with a matrix of management and bank personnel to influence and manage multiple agenda’s related to scheduling meetings, travel, board materials, presentations and reports.

Specific Responsibilities

  • Provide comprehensive administrative support to the SVP CIO.  Responsibilities include prioritizing all materials received by the CIO, bringing urgent matters and all matters from the President and CEO to the CIO’s immediate attention, preparing expense reports, and making travel arrangements.  The Senior Administrative Assistant also handles administrative duties and travel arrangements for the Director of IT, IS, Enterprise Program Office and Bank Operations. 

 

  • Manage workflow of CIO’s direct reports – keep a log, send reminders to individuals regarding deliverables and follow up on deliverables. Coordinate and prepare materials for weekly staff meetings.

 

  • Prepare periodic and ad hoc reports and presentations for the CIO and direct reports.

 

  • Assist the CIO with the preparation of reports and other materials for internal and external meetings.  These include meetings of the Management Committee, the board of directors, Business Committee, Operations Committee, IPPAT and the FHLBank System, as well as agency, and trade association meetings.

 

  • Serve as back-up for departmental roles in administration of reports, disaster recovery and facility coordination.

 

  • Work closely with the Budgeting and Planning Manager to maintain the administrative aspects of the budget for the Division.  This includes support for the preparation of the annual budget and reforecasts, handling check requests, and record keeping related to expenditures.  Provide back-up support in the absence of the Budget and Planning Manager.  Be conversant with budget categories and planned expenditures.

 

  • Responsible for providing high-quality customer service to customers.  Handle incoming inquiries pertaining to the Division and the Bank in a professional and courteous manner.

 

  • Perform other duties as required.

Qualifications

Knowledge/Skills

  • Outstanding oral and written communication and organization skills with a specialty in communications in both written and presentation formats.
  • Ability to effectively interact with Bank staff at all levels including senior management and maintain relationships with various internal and external stakeholders.
  • Ability to multi-task, prioritize and complete projects on time and within budget.
  • Familiar with reporting tools and experience with reporting.
  • Proficient in Microsoft Office, Lotus Notes, and database management experience.

Education

  • Bachelor’s degree or equivalent work experience.

Experience

  • 5 to 7 years experience in an administrative assistant role.
