Executive Administrative Assistant â Audit and Human Resources
Position Purpose
This position provides administrative support to the Director of Auditing and the Director of Human Resources. Acts as a liaison between the senior executives, the Board of Directors and the Federal Housing Finance Agency.
- Performs various duties, which include, but are not limited to, timely and accurate production of memos, bank correspondence, creating and compiling statistical data, spreadsheet development, graphing and data manipulation, and database management. Provides assistance to senior executives by maintaining appointment calendars, scheduling meetings, screening calls, making travel arrangements and preparing expense vouchers.
- Produces agendas and presentation materials for the Boardâs Audit and Compliance Committee and the Governance and Compensation Committee. Attends internal committee meetings and prepare minutes for committees as assigned.
- Completes high volumes of tasks and projects quickly with little to no guidance; reacts with the appropriate level of urgency to situations and events that require quick response or turnaround; and efficiently solves difficult or complex problems that affect people within the division or other related groups.
- Acts as a problem identification and resolution resource, answers questions, provides guidance, troubleshoots and follows up with employees and customers in resolving problems; may coordinate (or act as liaison) between functions/departments as required to facilitate problem resolution. Assists Internal Audit Department management with monitoring the status of auditee implementation of audit recommendations, performing special projects, and coordinating logistics and materials for the bankâs external auditors and regulator.
- Coordinates Human Resources benefits billings and reconciliations as needed.
- Manages special projects and events such as logistics for seminars, taking responsibility for coordinating tasks and completing them within deadlines.
- Performs other duties as assigned.
Desired Qualifications
- High School Degree required. Bachelorâs Degree preferred or an equivalent combination of education and experience from which comparable knowledge and skills may be acquired.
- Three plus years experience in an administrative support capacity with at least three years experience supporting at the executive level. Ability to handle administrative responsibilities using knowledge of company policy and procedures,
- Able to meet tight deadlines. Ability to work effectively in a team environment, supporting multiple projects and activities.
- Excellent written and verbal communications skills required with the ability to easily communicate and interact with individuals at all levels within the Bank and with outside clients and vendors. Ability to maintain confidential information with superior judgment and discretion, regarding other employees, board of directors, member institutions, company records, and Internal Audit results.
- Excellent organizational skills required to plan, organize and schedule priorities and efficiently organize work in terms of setting and meeting priorities. Must be able to work in a fast-paced environment with demonstrated ability to juggle multiple competing tasks and demands.
- Maintains a strong knowledge of appropriate software packages, including Microsoft Word, Excel, Outlook, PowerPoint, Visio and other applicable data base management software. Ability to operate office equipment such as computer/printer, photocopier, scanner and fax machine.
