We are seeking an experienced and highly motivated Administrative Assistant I for our Office Capitol Projects team-
Position Highlights:
Construction Administrative Assistant provides advanced support to the Assistant Director, Office Manager and Construction Managers. Will be expected to have a working knowledge of Construction Administration means and methods. Exemplifies the Rush mission, vision and values and acts in accordance with Rush policies and procedures.
Position Responsibilities:
TIF Coordination
Work directly with Assistant Director to compile all TIF data into reports for Senior Staff.
Will act as liaison between Capital Projects and its Contractors / Sub-Contractors to properly receive, review and organize all documents related to all TIF projects.
Responsible for all TIF files/data; collection, organization, maintenance of documents and ensure that proper security measures are enforced.
Ensure the proper disposal protocols are followed.
Will collate, log and package all documents for delivery to City Agencies.
Will act as liaison with City Agencies as required.
Will support the department’s Assistant Director with contract preparation and budget reports.
Assist on specific projects as designated.
Will support the department’s Construction Project Managers as required.
Ability to demonstrate knowledge to create and manager reports, correspondence and processing/scanning of documents, filing, etc required.
Ability to demonstrate knowledge and proficiency in Microsoft Office Suite required.

Willingness to provide back-up support to other administrative staff within the department as required.
Previous experience with the purchase and maintenance office supplies and equipment required.
Previous experience with processing project/departmental invoices required.
Ability to liaise with other RUMC departments and outside vendors is required.
Position Qualifications Include:
High School Diploma or GED equivalent required.
Associates Degree or higher preferred.
At least 3 years of experience in construction administration required.
Previous administrative support experience in an architectural, engineering or construction company strongly preferred.
Previous work experience as a construction administrative assistant in a healthcare environment strongly preferred.
Ability to demonstrate a basic knowledge of Microsoft Office required ;must be able to type at a minimum 40 wpm.
Ability to interact within a complex administrative system.
Be able to work in a rapid paced work environment and interact effectively in a professional and
courteous manner with departmental staff and visitors.
Excellent oral and written communication skills required; must be detailed oriented and be able to complete complex tasks without supervision.
