Job Title:

 

TEMPORARY Executive Secretary to the VP

Main Job Purpose:

 

The Executive Secretary to the VP of Brand Building NAME is going on maternity leave. We are looking for a candidate who will be available to cover for her  while she is away, around  3+ months.

 

The succressful candidate must be able to provide multiple, broad based,  timely, and high quality secretarial services; ensuring professional and efficient output, supporting excellence in the BB NAME Department. Additionally to provide support to the BB NAME in putting together reports & presentations for the VP BB NAME.

 

Key Accountabilities:

 

Secretarial Support to VP BB NAME

>   Ensure timely reply of VP NAME email, highlighting those that require urgent attention.

>   On-time, complete, and well-planned travel arrangements including visa application, ticketing, transfers, and accommodation for VP BB NAME & his Team.

>   Maintain a convenient working calendar; efficiently organizing meetings and travel plans.

>   Preparation, organization & retrieval of documentation including PowerPoint, Excel, MS Word formats.

>   Weekly follow-up and consolidation of reports.

>   Maintain a follow-up system whilst ensuring tasks assigned by the VP BB NAME are completed and deadlines met.

>   Develop and maintain high level of communication capabilities of the BB NAME Department with Unilever units & key stakeholders across AMET, these include maintaining updated contact list, ready reference updates, etc.

>   Provide other assistance to VP BB NAME, as required such as AMET HPC Ignite conferences.

 

VP BB NAME Department Coordination

>   Coordinate and organize company meetings / conferences.

>   Handle VP BB NAME visitors' visa, accommodation and transportation requirements.

>   Office supplies replenishment.

>   Check department invoices and debit cost centres accordingly.

>   Efficient control on dispatch and receipt of documents and materials couriered or transported by any other means from/into the VP BB NAME Department.

 

Support to MO Team

                     

In follow up, consolidation and reporting of various data/reports including:

>   Monthly  consolidation and reporting of AMET data, including follow up with reporting lines.

>   Monthly Asia AMET  performance summary (key countries) from a BB NAME perspective.

>   Summary report for the ALT  booklet.

>   Quarterly Consolidated report IPM and GMI

>   Collecting OPCO Event plans

>   Monthly Price performance collection.

Professional Skills:

A minimum University graduate in Arts, Business or Commerce with English as the medium of University education.

 

A high degree of familiarity and practice of IT skills related to use of Microsoft PowerPoint, MS Word, MS Excel.

 

A strong command over oral and written English with an ability to understand and communicate clearly and effectively

 

 

Other requirements:

 

Must hold a valid UAE visa sponsored by a family member (e.g. husband, mother, father)

 

Travel:

 

The job does not normally necessitate any travel outside the U.A.E.

 

Contacts:

 

VP BB NAME DEPARTMENT consists of about 3 individuals. However the level of interaction will extend to BD & to an extent BB Marketing teams in addition to ersonnel in supporting functions such as HR, IT, and Commercial.

 

Contacts within Unilever external to VP BB NAME DEPARTMENT: colleagues in countries within Africa, Middle East and Turkey & perhaps Asia as well.

 

External contacts: Travel Agents, Courier agencies, etc.

 

 Gross Salary : AED 6,000 per month + Company-provided bus transportation at designated points & schedule.
